Job Description

Job Summary: 


The Office Manager serves as the administrative coordinator at a construction area office. He/She prepares and submits reports to the Corporate office as required, performs necessary logistical and financial tasks, distributes documents and manages files, monitors the communications systems at the site, and does all other tasks as deemed necessary by the Vice President and Area Manager. 


Job Responsibilities: 


§ Coordinates and monitors the daily time entry of employees and equipment into the Heavy Job software. 


§ Manages and assists with day-to-day operations of project office in developing efficiencies and promoting excellent employee relations 


§ Process invoices and corresponding backup into the Accounting Software 


§ Verifies Subcontractor Pay Applications 


§ Routes documents and correspondence, both internally and externally 


§ Prepares field purchase orders 


§ Tracks materials 


§ Maintains surveillance on the communications systems in use at the facility and in the field, noting deficiencies, and arranging for repairs when necessary 


§ Maintains electronic document control protocol, to include filing and scanning into Sharepoint 


§ Assists the Office Engineers in preparation of Pre-Bid packages, Subcontracts and Materials Purchase Orders 


§ Orders all necessary supplies for the office site 


Job Requirements: 


§ At least two years in an accounting or administrative position 


§ Bachelor’s Degree preferred 


§ Must be able to use all Microsoft Office software proficiently 


§ Excellent organizational skills 


§ Excellent interpersonal skills 


§ Excellent oral and written communication skills 


§ Maintain the confidentiality of all documentation, information and processes
